Aptly for Recruiters

One price per recruiter a month with active candidates included: Solo $99 (50 candidates), Team $89 per recruiter (75 each, 2 to 9 recruiters), Agency $79 per recruiter (100 each, 10 or more), and $59 a month for each 25 extra candidates. Candidates never pay: they take the tests free and get Aptly Pro free while they work with the recruiter, and keep it 30 days after. Prices are set in Admin → Recruiter pricing.

  • Recruiter menu: Home, Recruiter (Candidates, Pipeline, Roles and fit, Companies), Mail and Profile. Matches, Jobs, Career Plan, Career and "Will AI take my job?" are folded under "Job seeker tools". On a phone the bar shows Home, Recruiter, Pipeline, Mail and Profile.
  • Recruiter Home: what needs attention (unfinished tests with "Remind", interviews to watch, unused invites with "Resend"), counts of active candidates, invites, open roles, in process and placed, the pipeline by role, recently joined, and quick actions (Invite, Import, Find candidates, Pipeline, Roles, Companies, Plan).
  • Candidates tab: "Invite a candidate" (name, email) → "Make invite link" (emailed if an email is given; each link is for one person). The list has no limit: invite and import as many people as you like and use it as a CRM; only people who join count toward the plan. Unused invites show name, email and date with "Copy link", "Resend email" and "Cancel". Candidate rows show tests done and still to do ("Remind them"), Longevity and status, with "Results", "Client profile" (one-page PDF for a hiring manager), "Interview" (a recorded video interview), "Access", "Make inactive" and "Remove".
  • Candidate page: click any candidate's name (Candidates, Pipeline, Find candidates, Fit scores, Best candidates, invites) for a page about them: fit and stage for each open role with the reason behind Qualified, background and test highlights, Longevity, video interviews, buttons for results, client profile and interview, and private notes shared with colleagues on the account. People invited but not joined yet have a page too; their notes and stages carry over when they join.
  • Inactive candidates: "Make inactive" on a candidate's row or page keeps them on the list with their results, stages and notes but they stop counting toward the plan (it frees a place). They move to "Inactive candidates" at the bottom of the Candidates tab and leave the active list, Pipeline counts and search; their free Aptly Pro through the recruiter pauses and they're told in Aptly. "Make active" brings them back when the plan has room. Candidates who pay for their own seat can't be made inactive. "Remove" ends the link for good (notes and stages are lost).
  • Import: "Import from a spreadsheet or résumés" adds many people at once from an ATS export (CSV, Excel or JSON, up to 10,000 rows; columns matched automatically and adjustable) or résumé files (PDF, Word, a zip). Each becomes an invite with a draft profile that is searchable right away.
  • Find candidates: searches names, titles, skills, education and résumé text (phrases in quotes, minus to exclude), with role, stage, Qualified and Satisfaction minimums, joined or not, and has-a-résumé filters; download exactly what the search found as CSV. "Download for your ATS": one row per candidate, or one row per candidate and role (Bullhorn, Greenhouse, JobAdder, Crelate, Recruit CRM, Loxo and others).
  • Pipeline tab: everyone on the list, joined or not yet, as cards by stage (Not submitted yet, Submitted, Interviewing, Offer, Placed, Not selected) for one role; move someone with the menu on their card; filter joined / not joined and find by name.
  • Video interviews: "Interview" on a candidate → five questions (standard, AI-written for the role, or your own) → the candidate records 3 to 5 minutes in the browser with one re-take. Only that recruiter can watch. Recordings are converted so they play in Safari, Chrome, Edge and Firefox on Mac, Windows and Linux; "Watch" has buttons to jump to each question and "Download the video". Kept 180 days.
  • Roles and fit tab: add a role (job title, company, location, work setup, pay, job description; paste or "Upload" a PDF, Word or text file). Roles are private to the recruiter. "Best candidates for a role" ranks candidates plus members who let recruiters find them. "Fit scores" shows each candidate's Qualified % (with the reason) and Satisfaction % for each open role, with a stage. Each role: "Role check", Edit, Close/Reopen, Delete.
  • Role check (Roles and fit → a role → "Role check"): reviews a role before it goes out, for the recruiter and their client only (candidates never see it). Choose the client's number of employees and "Run role check". It shows: pay-transparency and posting rules where the job is (19 states and cities, including California, Colorado, Washington, New York, Illinois, New Jersey, Massachusetts, Maryland, Minnesota, Vermont, Virginia, Maine and Connecticut; remote roles against the states they're open to), each marked Meets it / Needs fixing (with what to add) / Doesn't apply / Starts later; pay against BLS wages for the state or metro and against similar live postings; wording with legal risk or that narrows the pool (age, national origin, citizenship, criminal history, pay history, disability, gendered words) with replacements; a posting-completeness checklist; education, experience and licenses against the occupation; and, with AI, must-haves, what could be optional, unclear points, questions for the client, selling points and where to find people. "Print or save as PDF" for the client. It is guidance, not legal advice.
  • Companies tab: the companies you hire for (private): website, industry, size, work setup, what each offers and what the work is like; every role at a company uses it for Satisfaction. Company size also sets which pay laws apply in Role check.
  • Plan and settings tab: firm name shown on invites, Solo / Team / Agency and number of recruiters ("Change plan"), this month's bill, candidates in use, extra packs of 25, invoices and card, default switches for new candidates, and "Your team": invite colleagues by email up to the number paid for; they share the candidates, roles and companies, and only the owner changes the plan, billing, firm name or team. Colleagues can "Leave this team".
  • Access: per-candidate switches for Job search and job emails, Let employers find them, Application tracker, AI Career Coach chat, AI résumé/cover letter/interview tools, Aptly Mail, Mentors and alumni, and each of the four tests; "Save for this candidate" or "Use my defaults". Switched-off features are hidden from the candidate and blocked.
  • Candidate side: the invite page shows who invited them, that it's free and what the recruiter will see; the candidate ticks the agreement and joins. They get Aptly Pro minus anything switched off. Account → "Your recruiter" → "Stop sharing and leave".

How to get there: Plans → "For recruiters". Then Recruiter in the main menu.

Paste a job description or pick a role; results show the person's title, employer and city as the page states them, the quote it came from, a public profile link if the page gives one, and a relevance score with what could not be verified. Shortlist people, export CSV, and (recruiters) add someone to candidates once they have given you an email. Find on LinkedIn (v5.31.3) runs the X-ray searches for you, one a minute through DuckDuckGo with no API key, and compiles name, headline, company, city and the profile link from the search results into a table you can save to the shortlist; Aptly never opens LinkedIn.
